Your responsibilities and our policies

Program coordinator/facilitator responsibilities

As a Program Coordinator/Facilitator we encourage you to familiarise yourself with the below enrolment policies.

Program Coordinators/Facilitators are given access to the enrolment system to monitor enrolments and communicate with participants.

All Program Coordinators/Facilitators are requested to:

Prior to the program:

  • Monitor enrolment numbers – if numbers are not viable for a program to run, a decision to cancel will need to be made at least 14 days prior to the program start date and communicated to the Operations Team. Cancellation of a program less than 14 days prior to the start date may result in a venue cancellation fee (excluding the PLI site) payable by the relevant Business Unit.
  • Communicate with participants – this includes reminder emails to participants at least one week prior to the program start date and any program materials.
  • Advise the Operations Team if there are any additional presenters or observers to be catered for in advance.

During/following the program:

  • Mark attendance within the enrolment system at the completion of each session.
  • To complete the marking attendance process you must select ‘Present’, ‘Absent’ or ‘Notified Absence’ for each participant on the attendance list and send to the Operations Team.
  • Send feedback survey to participants if required. Survey links can be sent out via the email function from the enrolment system. The Operations Team uses a standard feedback survey.

Additional information:

  • Enrolments close two weeks prior to the first day of the program. The Operations Team will do their best to accommodate late enrolments however, there may be implications for late catering requests.
  • When a program is open to external participants (outside of DECYP), the applicant will need to complete the external enrolment form via the Training and Development Hub.

DECYP enrolment policy

Enrolment Costs

  • The cost to DECYP participants is $50 per person, per day.
  • The Operations Team will process a journal to the relevant School or Business Unit following enrolment confirmation for DECYP participants.
  • PCD will pay all costs associated with the program (catering, venue and facilitator expenses where applicable).

Course Enrolment Procedure

  • Course enrolment is through the Training and Development Hub.
  • Enrolments must be supported by the applicant’s Principal or Supervisor.
  • When the enrolment is completed, an automated confirmation email will be sent to both the applicant and their Principal or Supervisor.

Late Enrolments

  • Enrolments close two weeks prior to commencement of the program.
  • Enrolments may not be accepted after the closing date.

Withdrawals

  • Late withdrawal from enrolment can affect the program’s viability and reduces the ability of Coordinators/admin staff to offer the spot to another participant.
  • Withdrawals less than a week from commencement of the program or course will incur full cost.
  • Withdrawal due to illness or special circumstances will be considered if communicated to the PCD Operations Team via pli@decyp.tas.gov.au.
  • If a participant fails to complete the entire program, the full program fee will still be applicable.

Program Cancellation

  • A program or course may be cancelled if enrolments do not reach the viable number to ensure a high-quality learning experience for participants.
  • An email will be sent to any existing enrolments advising of the cancellation.
  • It is the responsibility of the Coordinator/Facilitator of the program to communicate the cancellation or postponement to all participants.

Expectations for Participants

  • Enrolling in any of the Training and Development Hub courses is a valuable investment in enhancing your capacity, knowledge, and skills.
  • There are certain expectations placed on participants in these courses to maximise learning outcomes which include:
    • Complete all surveys administered by the program provider and an independent evaluator if requested, for the evaluation and ongoing improvement of the program and participation experience.
    • Participate in the course evaluation surveys.
    • Unless otherwise notified, give permission for photos or video taken during the workshop/sessions to be used by the Professional Learning Institute in its publications, including newsletters, documents, presentations (video presentations), displays, websites and professional development material.

Study Pathways with University of Tasmania (UTAS) programs

  • Certain programs or courses offer a pathway to further studies at the University of Tasmania (UTAS)
  • Assessment for UTAS units are set by UTAS

External / non-DECYP enrolment policy

External enrolments include non-DECYP Staff, Relief Staff and Pre-service Teachers in their final year of study:

  • Priority is given to DECYP enrolments.
  • External enrolments are only accepted where programs are noted as open to DECYP and non-DECYP participants.
  • External enrolments will be waitlisted and confirmed subject to availability by the Program Coordinator.
  • Confirmation of enrolment will be given approximately two weeks prior to the program start date.

Enrolment Costs

  • The cost to external (non-DECYP) participants is $150 per person, per day.
  • The Operations Team will invoice individuals or the relevant School/Business unit following enrolment confirmation.

Course Enrolment Procedure

  • External course enrolment is through the Training and Development Hub.
  • External enrolments will be processed and contacted within two business days.

Late Enrolments

  • Enrolments close two weeks prior to commencement of the program.
  • Enrolments may not be accepted after the closing date.
